Publicity and Registration Countdown

Late January


Hold a "Summer in January" promotion.
Pull kids out of the winter doldrums by previewing your VBS and other summer programs. Have someone dress in pirate gear to announce the VBS dates to kids and families. Set up a table in your church foyer with registrations forms (page 107 and Resource CD). Have volunteers at the table dressed in their pirate finest. You’ll be surprised at the number of preregistrations you’ll receive in the middle of winter!

Two Months Out


Publicize VBS dates weekly in your church bulletin.

One Month Out


Set up a preregistration booth in a high-traffic area of your church.
Decorate your booth with treasure boxes, gold-covered chocolate coins, fishing nets, and The Pirates Who Don’t Do Anything movie poster. Have plenty of parent letters and registration forms on hand. Invite church members to take extras to share with neighborhood friends.

Use the bulletin insert.

Send letters to parents.

Give kids VBS postcards to share with friends.

Give church families door hangers to place in their neighborhood.

Post the community flier (page 105 in Director's Guide and Resource CD) in public places.

Send a friendly pirate through your children's ministry areas to encourage kids to attend.

Opening Day Welcome

Have plenty of friendly volunteers on hand to meet children and visitors at every entrance to your church. If you’ve had special T-shirts made for your VBS, make sure all your volunteers are wearing one. Encourage them to wear bandanna headwraps and other friendly pirate paraphernalia. Supply everyone with name tags.

Some parents and kids may be entering your church for the first time. Make sure it’s a warm, positive experience for them!

For security, have parents sign their kids in and out.

Make sure your registrar has plenty of help to take care of walk-in registrations and place the children in crews. Your registrar will have prepared an alphabetical list of kids who have preregistered, Crew lists, and Group lists (lists of crews that will travel together to each Bible learning site). Use a laptop computer to update each list with the names of walk-ins.

Set up three registration tables with the signs,
  • Preregistered, Elementary
  • Walk-In Registration, Elementary
  • Preschool Registration

Place extra tables where parents can fill out registration forms. Some may be hesitant to provide all the information. If you receive an incomplete form, gently ask parents to complete all the information. Emphasize that your number one concern is their child’s safety.

If the weather is nice, you may want to set up your registration area outside to avoid lines and crowding.

Have your Shipmates on hand to greet the kids in their crews as they arrive. Give each child a name tag and help them hook up with their Shipmates. The Shipmates will have a sheet of foam core and markers. Once all crew members are on deck, Shipmates will invite their kids into the Yo-Ho-Ho Show area where they’ll draw and decorate their crew numbers on the foam core. The Yo-Ho-Ho Show leaders will have lively music to welcome the crews.

At a distance from the registration area, have a check-in site for your volunteers with name tags and class lists.
